ASU’s custom Undergraduate Advisor Portal in Salesforce enables the academic advising community to outreach to students based on data triggers of potential retention risk factors.

By leveraging automation, predictive analytics and case management tools Advisor Portal serves as a central resource for academic units to monitor and manage engagement with their students.

How it works

The Undergraduate Advisor Portal enables the ASU advising community to create outreach cases, which produces a simple way for them to contact students based on specific, time-sensitive risk factors.

Advisors can also track and document details about the student interactions on the case for tracking and reporting.

Retention campaigns

Retention campaigns fuel data-informed action to nudge student behavior. The Student Success Innovations team aids with the implementation of the Salesforce Undergraduate Advisor Portal by sponsoring campaigns for students who:

College campaigns

College campaigns are designed by academic advising representatives and uploaded by SSI staff. The Student Success Innovations team also supports unique retention campaigns for college-specific outreach efforts, including:

  •  Are not enrolled for 
    subsequent semester
  •  Have applied for graduation but dropped a course or credit
  •  Have received a specific Academic Status Report (ASR)
  •  Are on academic warning or probation
  •  New student outreach and planning for orientation
  •  Major-specific milestones
    and guidance
  •  Graduation planning and preparation support
  •  Course-specific requirements and support

Steps to access Advisor Portal

Follow these steps to complete training and gain access to Salesforce Advisor Portal:

Fill out this form to request individual user access.

02

Complete the FERPA and Salesforce Ugrad Advisor Portal training (for undergraduate academic advisors and retention outreach) to view the portal in Salesforce.

Wait 2-3 business days for a Data Trustee to approve the role.

04

An email will notify you upon approval and access to Salesforce Advisor Portal.

Updates to Advisor Portal queues are determined by Advising Committee assignments. Please contact Beth Landish to change or update your department’s Advising Committees which will then migrate to Salesforce Advisor Portal queues.
